When leading independent brewer Hall & Woodhouse needed a highly dependable food and beverage management system which could cope with its pubs’ busiest trading days, it turned to Zonal’s Aztec management solution and its ultra-reliable Z500 series EPoS terminals.

Hall & Woodhouse has been a leading independent brewer for over 200 years and is renowned throughout the country for its award-winning Badger Ales. It remains an independent family company and is owned and run by the fifth generation of the Woodhouse family.

In addition to its brewing operations, the company operates pubs all over the south of England, from Somerset and Devon in the West Country to London and Sussex in the east. From modest roots in the 18th century, Hall & Woodhouse has grown into a successful modern business with over 1,500 employees and an annual turnover of almost £100 million.

The company required a food and beverage management system and a new EPoS system for their growing business and a decision was made to install a more sophisticated system. The company evaluated a small number of alternative systems and decided that Zonal would provide the best solution.

Robust and reliable

“I had used Zonal equipment before at previous companies, and had always found that both the software and the hardware were incredibly robust,” explains Hall & Woodhouse’s Financial Director.

“We carried out a trial and the Zonal system provided all we needed, and more. We knew we could rely on it to keep on working without any disruptions.”

At the beginning of the project, the company implemented Zonal systems in 40 of its pubs over a period of about three months. Each installation included new EPoS solutions with card payment capabilities in the bars and restaurant, a kitchen management system connecting waiting staff to the food preparation areas, and financial and stock management software in the back office. Each night, management data from the pubs is sent electronically to the Hall & Woodhouse head office for analysis in their proprietary management information system.

Harsh environments

They explained that because of the nature of Hall and Woodhouse’s food and beverage operations, the most important benefit of Zonal’s system is its rock solid reliability. “A large proportion of the business we do is concentrated on a comparatively small number of big days, Easter, the May bank holidays, and three months in the summer when we are tremendously busy.  We can’t afford to have the system crash in one of our pubs because if it did, it would cost us thousands of pounds every time”.

 “A bar environment is pretty harsh, but we’ve found the Zonal hardware to be very hard-wearing.”

Easy-to-Use

The company makes use of large numbers of seasonal staff during the busy periods, but thanks to the intuitive nature of Zonal’s software, new staff need only a minimal amount of training before they can use the system.

Increased efficiency

Zonal’s systems aren’t just dependable; they’ve helped Hall & Woodhouse improve the efficiency of the way its pubs are run in a number of ways. One example of this is the kitchen management system, which enables waiting staff to take orders and send them straight to the kitchens from terminals in the restaurants.

“Our staff don’t have to run up and down stairs to get orders which saves them time. They can instantly see from the terminals when particular items are running low or have run out”

Sound financial sense

They have no doubt that the investment will save Hall & Woodhouse money in a fairly short period of time. “The system will certainly give us a rapid payback, but more important to us is the fact that the system works.  The cost of the Zonal system pales into insignificance compared to the cost of a till system going down on a busy Sunday lunchtime.”

The advanced features of the system are proving valuable – and the company plans to exploit more of them in the future – but for Hall & Woodhouse it’s the fact that the company can use it as a solid foundation for trading that is all important.

“It’s impossible to stress too much how important it is to us that our systems work, and when we deal with Zonal we know we will get a system that does what is promised, delivered on time and on budget.”

Whiting and Hammond have been customers of Zonal since June 2010 and took the decision to implement Zonal’s end-to-end solution across all sites to improve management control as the business expanded from four to seven sites.

Similar to most R200 member companies, the challenge when expanding a business from one outlet to multiple sites is retaining a consistent level of control over costs, margins and standards, in addition to analysing sales and cost trends.

The company, based in Kent, was founded in 2003, and has now grown to seven sites including a unique joint venture with K College where a group of students run ‘The View’ Restaurant at the Tonbridge campus.

Zonal’s Aztec Enterprise and site EPoS software in all sites has enabled Brian Whiting, the company’s founder, to retain complete control and maintain real-time visibility of the key performance indicators.

It is the simplicity and rich functionality of Aztec that delivers real benefits to the Whiting and Hammond business. At head office, the latest sales data is updated every 30 minutes, and the management team make full use of the promotions module creating bespoke offers quickly and easily that are sent automatically to each outlet.

“Since installing Zonal’s EPoS solution, the food and drink GPs have increased by 1.5 % across the business” says Brian. “Zonal’s state-of-the-art hardware and Aztec software has definitely helped us to become more efficient and streamline our operation.”

The key to ensuring that the benefits have been delivered is the partnership between Whiting and Hammond and the Zonal team. As the business has evolved, the way Brian and his team utilise Aztec has been customised to ensure that the benefits of the solution continue to be realised.

The Whiting and Hammond team manage all of their own data at head office and Zonal provided interfaces to their finance package, labour scheduling and forecasting software. In addition, the suggested order functionality is being trialled in one site prior to a full roll out across the estate managing stock levels and improving compliance using authorised suppliers. Custom-designed reports that provide simple headline sales and cover numbers to keep Brian and his team in close control over the hourly performance of the business.

Following the success of the group’s loyalty card, developed by Zonal, Whiting and Hammond launched the new Christmas gift card in 2014, which allows visitors to share their love of the company with friends and family. Manchester brewer Hydes rolled out Zonal’s Hospitality Management Solution, across 15 managed pubs in October 2011.

The project included the complete replacement of Hydes’ EPoS, stock management and ordering systems and involved 40 of the company’s staff and managers working in the pubs and at head office.

Working closely with Hydes, Zonal’s dedicated installation and training team designed a comprehensive training schedule including pre-installation workshops, intensive Go-Live support and practical post-installation assistance at important milestones such as the first stock take.

As in any busy hospitality venue, replacing vital retail technology in Hydes’ most profitable pubs needed to be carefully planned to ensure no interruption to business. The training plan was critical in making sure every member of Hydes’ team felt confident about using the new system and had specialist trainers on hand to support them, particularly on the day of installation.

“Our objective was to provide plenty of hands-on training to remove any anxieties and ensure staff felt in control of the new system,” says Craig Hamill, Training & Development Manager at Zonal.

“In our experience, delivering this level of intensive support at three critical stages – shortly before installation, during the Go-Live phase, and up to two weeks afterwards – makes the most business sense and provides users with lasting confidence.”

A week before the system was installed, Zonal presented a series of two-day training workshops at Hydes’ headquarters. These gave staff and managers their first introduction to the new technology in a neutral environment, away from interruptions and the day-to-day demands of their jobs. They were able to explore Zonal’s Aztec stock management and Purchase-to-Pay systems through a series of mock sales, stock taking and ordering tasks, and had the freedom to ask questions and iron out any concerns.

Classroom training was soon followed by the Go-Live phase, which involved the same Zonal training and installation specialists delivering intensive onsite support to each pub on the day the system was introduced, from logging in long before customers started to arrive, to cashing up after last orders.

The final stage of the training programme was completed two weeks later with a series of onsite sessions to support pub managers and head office teams completing their first stock take with the new system. In this phase, managers were also given extra training to get the most out of the systems bespoke reporting tools.

“Zonal’s thoughtful and detailed approach to training has been central to our successful transition to a new EPoS, stock and ordering system,” says Hydes Finance Director, Adam Mayers.

“By giving us the right level of help at the right time, and addressing every possible eventuality and hitch before they happen, they have instilled a great deal of confidence in our team.”

“Added to this, the system’s user interface is so logical and well-designed that getting to grips with it is largely intuitive.”

Hydes installs Zonal to improve control of sales

Manchester brewer Hydes selected a Zonal Hospitality Management Solution to improve the way it controls sales across 15 managed pubs in the North West of England. The solution, which incorporates Zonal’s Aztec stock management and Purchase to Pay online ordering software, is not only helping Hydes manage stock but also reduce wastage and increase gross profit.

Established in 1863, Hydes is one of the most successful breweries in the UK. The family-owned business produces a range of craft brewed cask beers which it sells through an estate of 66 managed and tenanted pubs.

The brief

Hydes’ objective was to find a management solution that bridged the gap between its pubs and head office operations and would track the day-to-day performance of its retail business.

“We wanted to increase the value of the information we receive from our managed pubs, so that we always had a clear picture of our performance and could identify areas of success or improvement quickly and accurately,” says Hydes’ Finance Director, Adam Mayers.

In particular, Hydes was looking for a way to monitor exactly how much wet stock each of its managed pubs was carrying and dispensing on any day. Beer sales are central to Hydes’ business, and this is an area where waste is common because drinks are dispensed direct from the cask, leading to spills and discrepancies in unit measures.

“The way beer is dispensed has a big impact on our profit margin,” says Mayers. “But in the past getting an accurate record of the number of units sold compared to the number dispensed was a challenge.”

The company also needed a way to streamline its wet stock ordering system and replace the labour-intensive process of placing orders by telephone and manually recording each delivery.

The solution

Hydes adopted a Zonal management system featuring 45 EPoS terminals, Aztec stock management and reporting software, and Purchase to Pay online ordering solution.

The system was installed following a series of classroom training sessions for pub and management employees and intensive support delivered by Zonal’s training team on the day of installation.
“The EPoS terminals are so intuitive and user-friendly that one-touch training was all staff needed to begin serving straight away with virtually no interruptions,” says Mayers.

Every night, up-to-date records of orders, deliveries, stock, sales and staff performance are sent from each managed pub to Hydes’ head office where they can be viewed in a variety of bespoke management reports to highlight and compare performance.

“The information we receive daily from the Zonal system is consistent and meaningful and can be used to directly inform our management plans,” explains Mayers.

“In the past, accessing management information was only possibly for highly trained users and was therefore never fully used. Now we have more information than we have ever had before, but it is illustrated in a useful format and can easily be filtered and viewed as part of a bespoke report, for stock versus sales or payroll for example.”

Details of new products and special offers can be uploaded onto the system at head office and applied to EPoS terminals in each pub. The system automatically sends details of time and date sensitive offers to relevant in-pub systems and then calculates discounts and promotions before applying them to customer bills at the point of sale.

“The system is helping us control the estate’s promotional activities and track the success of each initiative, in real-time if we want to, so that we can make informed decisions about the most effective ways to market our pubs,” adds Mayers.

Ordering made easy

Aztec’s Purchase & Pay software allows each pub to place orders for wet stock online direct with Hydes brewery and the company’s suppliers. Orders are automatically recorded and enter the pub’s stock records on delivery.

“Our stock and sales picture is much closer to real time now, which immediately gives us a better handle on the business,” says Mayers.

Payroll management

The new system is also helping Hydes to manage its workforce more productively.

“We can now effectively clock staff in and out, so we know exactly which members of the team are on site and what tasks they are performing,” says Mayers.

“Staffing information reaches us via Aztec’s reporting software in a clear and useful format which is helping us to understand how our teams are being used and giving us the data we need to make good business decisions. This is enabling us to redeploying members of staff into the areas of our business that need the most manpower at different times of the day and improving our labour efficiency.”

Results

“With an accurate view of stock and wastage, plus real-time alerts to areas of inefficiency, we are now building an action plan to improve gross profit across the estate,” says Mayers.

“Our management team is much closer to our pubs. We have a better understanding of their day-to-day experiences and can have positive, informed discussions with pub managers and staff about how to help each pub run more smoothly and profitably.”

The future

Using Zonal’s Aztec Purchase to Pay software to order wet stock is proving so successful that Hydes now plans to roll out the system to manage food purchasing for its seven food-serving pubs. The system is expected to help Hydes to rationalise recipes and plan menus to reduce food waste and increase profitability.

Zonal’s innovative, integrated solutions prove to be a perfect fit for Bourne Leisure’s fast moving business.

Handheld EPoS

Bourne has also adopted Zonal’s handheld devices in a selection of restaurants on its Butlin’s parks, enabling staff to take orders and payments at the table. As a result, the company has not only improved customer service but also seen a marked increase in sales.

At its Papa John’s pizza restaurant at Butlin’s Bognor Regis and Firehouse Grill restaurant at Butlin’s Minehead, 80 per cent of takings are now processed through handhelds.

“Providing efficient table service using the handhelds means staff are able to spend more time with customers and less time walking to and from a fixed station to take and input orders. “More one-to-one contact with customers has resulted in significantly higher order values, particularly on drinks, desserts and extras and a better guest experience.”

Management data

Using Zonal’s Dimensions Management Reporting software also allows Bourne’s head office teams to create and circulate performance reports quickly and easily. Working with Zonal, Bourne now plans to collect data from each site several times each day and deliver this information in an easy-to-view format within an hour of a transaction taking place.

“We intend to provide managers with KPIs, alert information and headline facts and figures via mobile devices,” they explained. “Our aim is to keep them up to date with our fast-moving business and allow us to act quickly to remedy any problems and identify areas for improvement.”

The UK’s leading supplier of hospitality management solutions, Zonal has completed the rollout of its Aztec software to the 614-strong Stonegate Pub Company estate in record time.

The rollout, which took three months to complete, involved installation of Zonal’s Aztec EPoS solution into Stonegate’s 2,500 plus terminals, together with the introduction of Zonal’s system in both back and head office with full integration of the company’s loyalty scheme and app.

Commenting on the success of the rollout, Stonegate’s chief financial officer, Dave Ross said:We were looking for a partner that was able to implement a new system quickly and effectively with minimal impact on our dynamic business. We now have a solution that enables us to quickly view and understand productivity and efficiency on a site-by-site basis, so that we can analyse business performance effectively.

The ambitious rollout programme included a 40 site trial, to identify any teething problems, followed by a rapid implementation phase, with 50-60 sites converted per week.

To ensure all sites were installed and ready for trading, all sites undertook a bespoke training session prior to conversion. On the day of switchover, Zonal were on site early to get the pub up and trading and were there until the end of the day to support with cashing up. A week after launch, Zonal returned to the venue to ensure all systems were working efficiently and provide any further training.

This was a major investment for us, which required minimum disruption to the business. Having a Zonal representative on site on day one was extremely important to make sure that the pub could continue to trade and that the team were supported through this important change. The Zonal helpline was key to ensuring our team had the right back-up and support said Dave.

Zonal’s chief executive Stuart Mclean added: Aztec has been developed for its versatility and offers a fully integrated product suite. We work closely with our customers to develop a solution that fits their business and culture. For Stonegate, delivering the project on time was crucial with limited disruption to the business. In additional a new fully integrated loyalty scheme and app was launched into more than 50 of their student venues.

Zonal has signed a major agreement with Mitchells & Butlers (M&B), the leading operator of restaurants and pubs in the UK, to provide all sites with its hospitality technology solutions.

It follows a successful pilot scheme in a limited number of M&B outlets, which has convinced the hospitality giant to harness Zonal’s unrivalled technology on a long-term basis across its 1,600-strong estate.

Mitchells & Butlers has adopted the principle of using the same technology platform across our business but tailoring the solution to suit the guest experience in each of its brands. The drinks-led businesses are concentrating on making the bar more effective and have installed new EPoS terminals and faster payment devices. In restaurants, the Company has invested in a wider technology platform, focusing on speed of service and efficient ordering processes.
The new terminals are quicker than before and give M&B the ability to offer a wide range of promotions, better and faster payments and more efficient and easier administration for its retail teams ultimately improving the overall guest experience.
